Terms and Conditions Policy for In-Person Events – Free Free
These Terms and Conditions apply to all in-person events, retreats, journeys, immersions, and experiences offered by Lily Lune Foundation Corp, hereinafter referred to as Free Free. By making a booking or submitting any payment, the participant acknowledges that she has read, understood, and agreed to these Terms and Conditions in full.
1. Booking Contract
A booking is confirmed only when Free Free receives the required deposit or payment and issues written confirmation. Submission of any payment constitutes acceptance of these Terms and Conditions.
2. Included and Not Included
Each event, retreat, or journey includes only those items expressly stated in the relevant event materials, itinerary, enrollment page, or official PDF.
Any item not expressly listed as included is not included and remains the sole responsibility of the participant. This may include, without limitation:
international or domestic airfare not specifically stated as included;
travel insurance;
medical insurance;
cancellation insurance;
visas and passport costs;
gratuities and tips;
meals and beverages not specifically listed;
optional excursions;
personal expenses;
spa services, minibar, laundry, telephone charges, and similar incidental costs;
additional hotel nights;
transfers outside the itinerary.
Free Free is not responsible for any assumption made by the participant regarding what may or may not be included beyond what is expressly stated in writing.
3. Payment
i. Deposits
A non-refundable deposit is required to secure a place, according to the payment plan selected on the enrollment or checkout page.
ii. Payment Plans
If the participant selects a payment plan, she is responsible for completing all scheduled installment payments in full and on time. Choosing a payment plan constitutes a commitment to pay the full amount due.
In the case of installment payments, if there is unilateral cancellation by the contracting party, the outstanding installments shall continue to become due on their respective due dates.
iii. Final Payment
Final payment must be completed in accordance with the selected payment plan and by any stated final payment deadline.
4. Cancellation and Refund Policy
Except where cancellation, refund, or rescission rights are required by applicable law, all payments made to Lily Lune Foundation Corp, hereinafter referred to as Free Free, are strictly non-refundable.
Where New York law applies, participants may have the right to cancel the transaction without penalty or obligation until midnight of the third business day after receipt of the required written disclosure. After any applicable statutory cancellation period has expired, all payments shall be non-refundable, except where otherwise required by applicable law.
Unless otherwise expressly stated in writing for a specific event:
all payments are non-refundable;
cancellations made by the participant do not entitle the participant to any refund, compensation, transfer, rescheduling, or substitution of any kind;
Free Free shall not be responsible for any costs, losses, or expenses incurred by the participant due to cancellation, non-attendance, late arrival, early departure, illness, inability to travel, or any other personal circumstance;
after participation has been confirmed, Free Free may incur costs, reservations, supplier payments, accommodations, services, staff, production, and other financial commitments related to the participant, which is why payments remain non-refundable.
5. No Refunds for Unused Services
No refunds or credits will be given for any unused portion of the event, including, without limitation, missed sessions, activities, meals, transfers, accommodations, ceremonies, or services resulting from the participant’s choice, late arrival, early departure, illness, non-attendance, or other personal circumstances.
6. Travel Insurance
Participants are required to obtain comprehensive travel insurance at their own expense. Coverage should include, at minimum:
trip cancellation;
trip interruption;
trip delay;
baggage and personal belongings;
emergency medical expenses;
emergency evacuation and repatriation.
Free Free strongly recommends that participants obtain a “Cancel For Any Reason” (CFAR) policy where available.
Free Free is not responsible for any losses, costs, or damages arising from travel disruptions, cancellations, medical issues, or loss, theft, or damage to personal belongings.
7. Travel Documents and Health Requirements
Participants are solely responsible for obtaining and carrying valid passports, visas, vaccination records, and any other entry, exit, health, or travel documentation required for participation.
Participants are also responsible for confirming and complying with all destination-specific travel requirements, health protocols, and legal entry requirements.
8. Medical Conditions and Fitness to Participate
Participants are responsible for determining whether they are physically, mentally, and emotionally fit for travel and participation in the event.
Free Free does not provide medical, psychological, or psychiatric advice, diagnosis, or treatment.
By participating, each participant confirms that she is voluntarily choosing to attend and is capable of doing so safely. Any medical, physical, emotional, or dietary needs must be disclosed in advance where relevant, but accommodation of such needs is not guaranteed.
9. Emergency Medical Care Authorization
In the event of illness, injury, or medical emergency, the participant authorizes Free Free and its representatives to secure emergency medical treatment on the participant’s behalf if deemed necessary.
The participant accepts full financial responsibility for any medical care, transportation, hospitalization, medication, evacuation, or related expenses incurred. Free Free may contact the participant’s emergency contact in the event of an emergency.
10. Acceptance of Risk
Participants understand and voluntarily accept all risks associated with international travel, group travel, transportation, physical movement, ceremonial or spiritual experiences, site visits, environmental conditions, and participation in experiential programs.
Participation is entirely voluntary, and each participant assumes full responsibility for all risks, injuries, losses, or damages that may arise in connection with her participation.
11. Program Dismissal and Right to Refuse Participation
Free Free reserves the right, in its sole discretion, to refuse, remove, or dismiss any participant at any time if the participant is deemed to have:
violated program rules or conditions;
engaged in illegal, unsafe, threatening, or disruptive behavior;
compromised the safety, wellbeing, experience, or integrity of the group or program;
failed to comply with local laws or facilitator instructions;
presented an active contagious illness or other condition that creates a health or safety concern.
Any such dismissal may be immediate and without refund, credit, compensation, or reimbursement of any kind.
12. Participant Responsibility
Participants are responsible for their own behavior, choices, personal belongings, legal compliance, and wellbeing throughout the event.
Participants must comply with all local laws, venue requirements, facilitator guidance, and group agreements. Any costs, damages, penalties, or liabilities caused by a participant are the sole responsibility of that participant.
13. Flexibility and Changes
Participants acknowledge that flexibility is an essential part of travel and live events. Free Free reserves the right to make changes to the itinerary, accommodations, schedule, facilitators, venues, transportation, site access, or other event details when reasonably necessary due to local conditions, availability, weather, safety concerns, government action, ceremonial flow, supplier issues, or other circumstances beyond its control.
Such changes do not entitle the participant to any refund, credit, or compensation.
14. Liability Limitation
To the fullest extent permitted by law, Free Free shall not be liable for:
acts or omissions of participants;
acts or omissions of third-party vendors, guides, venues, transportation providers, or service providers;
theft, loss, or damage to personal property;
delays, cancellations, interruptions, accidents, illness, injury, emotional distress, or force majeure events;
indirect, incidental, special, or consequential damages.
If, notwithstanding the above, liability is established, Free Free’s total liability shall be strictly limited to the total amount actually paid by the participant for the applicable event.
15. Force Majeure
Free Free shall not be liable for any failure, delay, cancellation, or modification caused by events beyond its reasonable control, including but not limited to natural disasters, war, terrorism, civil unrest, strikes, epidemics, pandemics, government restrictions, weather events, transportation disruptions, supplier failure, or acts of God.
In such circumstances, Free Free reserves the right to modify, postpone, reschedule, or cancel the event as necessary. Refunds or credits, if any, shall be provided only at Free Free’s sole discretion unless otherwise required by law.
16. Claims and Complaints
Any concern or complaint must be communicated promptly during the event so that Free Free has a reasonable opportunity to address it. Free Free shall not be liable for complaints or claims that are raised only after the event has concluded and were not reported at the time they occurred.
17. Media Release
By attending, participants grant Free Free the irrevocable right and permission to photograph, film, record, and use their image, likeness, voice, and participation in any audio, video, photographic, or digital media for promotional, educational, editorial, archival, and commercial purposes, in any format or medium now known or later developed, without compensation or further approval.
18. Contract Parties
These Terms and Conditions are binding upon and inure to the benefit of Free Free and the participant, including their respective heirs, legal representatives, successors, and permitted assigns.
19. General Terms
If any provision of these Terms and Conditions is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
These Terms and Conditions constitute the entire agreement between Free Free and the participant with respect to the event, except as otherwise expressly stated in writing.
